Effective Date: January 1, 2026
By placing an order — online, in person, or by phone — with STMA Printing, you agree to be bound
by the following Terms and Conditions. Please read them carefully before submitting your order.
STMA Printing reserves the right to update these terms at any time without prior notice.
1. Acceptance of Terms
Placing an order with STMA Printing — whether online, in person, or by phone — constitutes
acceptance of these Terms and Conditions in their entirety. If you do not agree to these terms,
please do not place an order. STMA Printing reserves the right to refuse service to anyone at
its discretion.
2. Payment Policy
2.1 Online Orders
All online orders require full payment at the time of checkout. Orders will not be processed or
scheduled for production until payment has been received and confirmed. Online orders may be
paid using any payment method available through the website checkout.
2.2 In-Person Orders
The following upfront payment structure applies to all in-person orders:
- Orders of $150.00 or less: Full payment is required at the time the order
is placed.
- Orders over $150.00: A deposit of 20% of the order subtotal is required at
the time the order is placed. The remaining balance is due upon pickup or delivery.
STMA Printing recommends that customers review their order total carefully before placement. The
deposit is non-refundable once an order has been sent to production.
Accepted payment methods for in-person orders:
- Credit or debit card
- Cash
- Payment link (sent via email or text)
- Pay through account (STMA wholesale members only — active membership and valid proof of
membership required)
2.3 Phone Orders
For orders placed by phone, work will not begin until upfront payment has been received. A
payment link will be sent to the customer. Production will be scheduled upon confirmation of
payment.
2.4 STMA Member Accounts
Active STMA wholesale members with a valid account in good standing may be eligible to pay
through their member account for in-person orders only. Proof of active membership must be
presented at the time of the transaction. This payment method is not available for online
orders. STMA Printing reserves the right to revoke account payment privileges at any time.
3. Pricing & Quotes
- All prices are subject to change without notice.
- Quotes provided by STMA Printing are valid for 30 days from the date of issuance. After 30
days, a new quote must be requested as pricing and availability may have changed.
- Quoted prices do not include applicable taxes, rush fees, or shipping costs unless
explicitly stated.
- STMA Printing reserves the right to adjust a quote if the final file specifications differ
materially from those described at the time of quoting.
4. Turnaround Time
4.1 Standard Turnaround
Standard turnaround is broken into two stages:
- File Review & Approval: 2 to 3 business days from the time a file is
received to prepare and send a proof for customer approval.
- Production: 1 to 2 business days from the time customer approval is
received.
When a proof is sent to the customer for approval, the turnaround clock is paused and will resume
only once approval has been received. Turnaround time does not include weekends, holidays, or
time spent awaiting customer response.
4.2 Rush Orders
Rush production is available upon request, subject to capacity. Rush orders are completed within
1 to 2 business days. A rush fee will be applied to the order at the following rate:
- $15.00 minimum rush fee, OR 30% of the order subtotal — whichever is
higher.
Rush orders must be confirmed with STMA Printing staff before placement. Rush availability is not
guaranteed and is offered on a first-come, first-served basis. Rush fees are non-refundable once
the order has been placed.
4.3 Turnaround Disclaimer
Turnaround times are estimates and not guarantees. STMA Printing is not liable for delays caused
by file issues, customer approval delays, equipment downtime, supplier delays, or circumstances
beyond our control.
Please note that delays may occur during our promotional printing period, which begins on the
15th of each month and continues through the end of that month. We recommend placing
time-sensitive orders before the 15th to avoid potential delays during this period.
5. File Submission & Artwork
5.1 File Requirements
Customers are responsible for submitting print-ready files that meet STMA Printing's file
requirements. Recommended specifications include:
- PDF, AI, EPS, or high-resolution TIFF/JPEG formats
- Minimum resolution of 300 DPI at final print size
- All fonts embedded or converted to outlines
- Color mode: CMYK for best print accuracy
- Bleed of at least 0.125" where applicable
STMA Printing is not responsible for output quality issues resulting from low-resolution files,
incorrect color modes, missing fonts, or improper file setup submitted by the customer.
5.2 File Review
STMA Printing will perform a basic preflight check on submitted files. If issues are identified,
the customer will be notified. Production will not begin until the file has been confirmed as
print-ready. STMA Printing does not perform design corrections as part of standard printing
services unless design services have been separately arranged.
5.3 Color Accuracy
Colors displayed on screen may differ from final printed output due to variations between digital
displays and printing processes. STMA Printing prints in CMYK and cannot guarantee an exact
match to RGB or Pantone colors unless a color match service has been arranged. We are not
responsible for color variations resulting from customer-supplied files.
5.4 AI-Generated Artwork
Customers submitting AI-generated images or artwork must be aware of the following limitations:
- AI-generated images are typically produced at low or inconsistent resolutions and may not
meet the minimum 300 DPI requirement for high-quality print output.
- AI-generated files may not scale accurately to the requested print size and may result in
blurry, pixelated, or distorted printed output.
- Customers must disclose at the time of order submission if any artwork is AI-generated. STMA
Printing will flag potential quality concerns during the preflight review.
- STMA Printing is not responsible for unsatisfactory print quality resulting from
AI-generated files. No reprints or refunds will be issued for quality issues attributable to
AI-generated artwork.
6. Approval & Proofing
For orders requiring customer approval before printing, a digital proof will be provided for
review. The following conditions apply:
- Customers must review and approve their proof before production begins.
- If approval is not received within 7 business days of the proof being sent, the order will
be automatically canceled. No refund will be issued for any deposit or payment already made.
- Once a proof has been approved by the customer, STMA Printing is not responsible for any
errors in the approved file, including but not limited to spelling, grammar, layout, color,
or design.
- Approval constitutes the customer's confirmation that the file is correct and ready to
print. STMA Printing will proceed with production immediately upon approval.
7. Cancellations
- Orders may not be canceled once they have been approved by the customer and sent to
production.
- Orders pending approval may be canceled prior to approval, subject to a cancellation fee of
15% of the order subtotal or $15.00, whichever is higher, to cover administrative and setup
costs. Any remaining balance will be refunded within 5 to 7 business days.
- Rush orders that have been confirmed and scheduled may not be canceled under any
circumstances.
- STMA Printing reserves the right to cancel any order at its discretion and will provide a
full refund if cancellation is initiated by STMA Printing.
8. Order Pickup & Abandoned Orders
- Customers will be notified when their order is ready for pickup via email, phone, or text.
- Orders must be picked up within 30 days of the ready-for-pickup notification.
- Orders not picked up within 30 days will be considered abandoned and will be discarded. No
refund will be issued for abandoned orders.
- If a new order is required after abandonment, it must be placed as a new order following all
current policies and pricing.
- STMA Printing is not responsible for any loss, damage, or degradation of products left
beyond the 30-day pickup window.
9. Shipping
- Shipping is available on demand and is not a guaranteed service. Customers must specifically
request shipping when placing their order.
- The customer is responsible for all shipping costs, including packaging, carrier fees, and
any applicable insurance.
- STMA Printing is not responsible for delays, damage, or loss of items that occur during
transit once the order has been handed to the carrier.
- Shipping timelines are estimated by the carrier and are not guaranteed by STMA Printing.
10. PrintShop Credits Program
STMA Printing offers a PrintShop Credits loyalty program with the following terms:
- Customers earn $1.00 in PrintShop Credits for every $100.00 spent (pre-tax).
- Credits accumulate automatically and are tied to the customer's account.
- Credits may be applied at checkout at the customer's discretion.
- Credits have no cash value and cannot be transferred, sold, or redeemed for cash.
- STMA Printing reserves the right to modify, suspend, or terminate the credits program at any
time without notice.
- Credits do not apply to rush fees, shipping costs, or taxes.
11. Refunds & Reprints
STMA Printing takes quality seriously. If you believe your order was printed incorrectly due to a
production error on our part, please contact us within 5 business days of pickup or delivery.
The following conditions apply:
- Reprints or refunds are only available for errors caused by STMA Printing (e.g., incorrect
color, wrong size, production defects).
- Reprints or refunds are not available for errors in customer-supplied files, including
spelling, design, color, or layout mistakes approved by the customer.
- Claims must be accompanied by the original printed materials and the original order number.
- STMA Printing will determine, at its sole discretion, whether a reprint or refund is
appropriate.
- No refunds will be issued for completed orders that meet the specifications of the approved
proof.
12. Intellectual Property
- By submitting files for printing, the customer warrants that they are the legal owner of, or
have obtained all necessary rights and permissions for, all artwork, logos, images, text,
and other content submitted.
- The customer assumes full legal responsibility for any copyright, trademark, or intellectual
property violations contained in submitted files.
- STMA Printing will not knowingly reproduce copyrighted or trademarked material without
proper authorization. STMA Printing reserves the right to refuse any order that it believes
may infringe on the intellectual property rights of a third party.
- STMA Printing retains no ownership rights over customer-supplied artwork or designs.
Customer files are used solely for the purpose of fulfilling the order.
- STMA Printing may photograph completed work for portfolio or marketing purposes unless the
customer explicitly requests otherwise in writing at the time of the order.
13. Prohibited Content
STMA Printing reserves the right to refuse to print any content that:
- Is defamatory, obscene, offensive, or violates any applicable law or regulation
- Promotes illegal activities or discrimination
- Infringes on any intellectual property or privacy rights
- Contains false or misleading information
STMA Printing is the sole judge of whether submitted content falls within these restrictions.
Refusal to print prohibited content does not entitle the customer to a refund of any
non-refundable fees already paid.
14. Limitation of Liability
- STMA Printing's total liability for any claim arising from an order shall not exceed the
amount paid by the customer for the specific order giving rise to the claim.
- STMA Printing is not liable for any indirect, incidental, consequential, or special damages
arising from the use of our products or services, including but not limited to lost profits,
business interruption, or missed deadlines.
- STMA Printing is not responsible for errors in customer-approved proofs, customer-supplied
artwork, or files that do not meet our submission specifications.
- STMA Printing does not guarantee that printed colors will exactly match digital proofs,
screen displays, or Pantone color references.
15. Privacy
STMA Printing collects customer information solely for the purpose of processing orders,
communicating about orders, and improving our services. We do not sell or share customer
information with third parties except as required to fulfill orders (e.g., shipping carriers).
Customer files and artwork are stored securely and are not shared without permission. Please
refer to our Privacy Policy for full details.
16. Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of the
State of Texas. Any disputes arising from these terms or from orders placed with STMA Printing
shall be subject to the exclusive jurisdiction of the courts located in Bexar County, Texas.
17. Changes to These Terms
STMA Printing reserves the right to update or modify these Terms and Conditions at any time.
Updates will be effective immediately upon posting to our website at stmaprinting.com. Continued
use of our services after any such changes constitutes acceptance of the new terms. Customers
are encouraged to review these terms periodically.
